Catering Costs in Kolkata: What Goes Into Your Quote

1. Fix a common brief

Give each caterer the same event date, venue, guest estimate, service window and dish list. Comparing a short lunch menu with a long reception spread will not tell you which quotation offers better value.

2. Separate fixed and variable costs

Ask which charges change with guest numbers and which remain fixed. Staffing, transport, setup or equipment may be separate from the food price. Confirm any minimum billing commitment before doing a per-person comparison.

3. Check the written inclusions

Request line items for the dishes, service staff, crockery, buffet equipment, water, live counters, transport, setup and clearance. Confirm applicable taxes on the actual quote rather than assuming one rate applies to every arrangement.

4. Understand changes and deadlines

Ask when the final headcount is due, how extra guests are charged, whether dishes can be substituted and what happens if the venue or timing changes. Check payment and cancellation terms before committing.

5. Use a comparison sheet

Create columns for each caterer and rows for food, guest minimum, service hours, staff, equipment, extras, taxes and total payable. Record questions beside missing details. A lower headline price can still lead to a higher final bill.
