Shortlist by function before neighbourhood

Write down whether you need a ceremony venue, a reception space, a smaller family function or several rooms across the day. Add the expected diners, seating style, stage, food counters and any accommodation needs.

Taj Bengal, Alipore

Taj Bengal’s official event-venue page lists Crystal Hall, smaller indoor rooms and Terrace Garden. It gives different capacities by seating style; Crystal Hall, for example, is listed for up to 500 in a reception arrangement and 280 in circular seating.

That difference is useful when planning a meal. Ask the hotel for your actual layout with the stage, buffet and guest tables included. If several functions are being considered, request a proposal showing which space is available for each and the time allowed between them.

Hyatt Centric Ballygunge Kolkata

The hotel is at 17 Garcha 1st Lane in Ballygunge. Its official weddings page describes Gallery, a 282-square-metre ballroom with a partition option, pre-function lobby and an outdoor area. The page also describes in-house wedding catering.

Ask how your guest count fits the proposed dinner layout and which connected spaces are included in the booking. If your celebration has several stages, check how guests will move from arrival to photographs to the meal.

Princeton Club, Prince Anwar Shah Road

Princeton Club’s banquet page lists wedding and reception hosting and names Reverb, Inn and Manor among its options. The published address is 26 Prince Anwar Shah Road.

Request the current venue-specific proposal rather than relying on directory figures. Ask which room is being quoted, the seating and food layout, what service is included and which booking or supplier conditions apply.

Tollygunge Club: check the function rules first

The club publishes several event spaces, but its booking rules are essential reading. They specify member booking requirements and state that religious services or rituals are not permitted. Music is also restricted by space.

Assess it for an eligible social gathering only after discussing the exact programme with the club. A space suitable for a reception or family event is not automatically suitable for the wedding rites themselves.

Treat capacity as a layout question

A standing reception count does not tell you how many people can sit for dinner with a stage and buffet in place. Ask for a plan that includes the arrangements you actually want.

• Seated diners: how many people can eat comfortably at one time?
• Stage and ceremony area: what floor space will they occupy?
• Food counters: where will queues form and how will dishes be replenished?
• Guest routes: can people reach seats, washrooms and exits without crossing service movement?
• Additional rooms: are changing, family and supplier spaces included or separately booked?

View the room in a comparable arrangement where possible. An empty hall can feel very different once furniture and décor are installed.

Check the catering policy before choosing a caterer

Ask whether catering is in-house, restricted to an approved list or open to external suppliers. Confirm any kitchen, equipment, handling or access charges and who is responsible for service and clearance.

Request an itemised proposal for the same date, guest count and programme from every shortlisted venue. Look at room hire, food commitments, equipment, décor conditions, power, service duration and applicable charges together.

Ask how the final guest count affects billing and when it must be confirmed. Check set-up and dismantling time, payment dates and the process for changes. Public directory prices rarely answer all of these questions for your event.
